Privacy policy

What WallZooki collects, why, who can see it, how long it is kept, and how to have it deleted.

About this policy

WallZooki puts a live wall of pictures on the big screen at fundraisers and events. This policy explains how WallZooki handles information about two kinds of people (and, until we launch, people who join our launch waitlist):

  • Organizers, who create a WallZooki account and set up boards.
  • Guests, who scan a board’s QR code and send a picture, video or design. Guests do not create an account.

If you have a question about this policy or about your information, email us at privacy@wallzooki.com.

We do not sell your information, we do not show ads, and we do not use analytics or tracking tools on our pages. QR codes are drawn by WallZooki itself, so no outside service sees your board’s address.

Information about organizers

When you create an account and use your dashboard, we keep:

  • Your sign-in details: your email address and password. Sign-in is handled by Amazon Web Services; your password is stored there in protected form, and WallZooki never sees it.
  • Your organization’s details: its name, the email address where we send notices about your boards, and your preferred language.
  • Your boards: each board’s title, sidebar message and picture, colors, size, language, screen size, and start and end times.
  • Payments, when charging for boards is switched on: card payments are made on a page run by Stripe. Your card details go to Stripe, not to WallZooki. Stripe tells us whether a payment went through, and we keep a record of payments, board credits and any codes you used.

We use this to run your boards, to email you (for example, when a board goes live), to take payments, to help you when you ask for support, and to keep the service secure. WallZooki’s administrators can see organization and board details in order to run and support the service.

Information about guests

When you add something to a board, we keep:

  • What you send: your picture, short video or design, and which square or spot it is for.
  • A name or a code, only if the board charges: if the organizer asks guests to pay them for a spot, you type either a payment code they gave you or the name you paid with. This is how the organizer matches your picture to your payment. WallZooki never handles that money: you pay the organizer directly.

Everything you send is first held for the organizer to review. They approve it, and then it appears on the big screen, or they reject it.

Please only send pictures you have the right to share, and think before sending pictures of other people, especially children.

The launch waitlist

Until WallZooki opens, you can leave your email address on our main page to hear when it does. We keep that address and the language you were using, and use them for one thing only: to email you when you can sign up. We do not share the list or use it for anything else.

The list is deleted after we send that message. To be taken off it sooner, email privacy@wallzooki.com.

Who can see it

  • Everyone at the event, and anyone with the board’s links: approved pictures are shown on the big screen and can be opened by anyone who has the board’s links. Treat an approved picture as public for as long as the board is up.
  • The board’s organizer: sees everything sent to their board, including pictures waiting for review and any payment name or code.
  • WallZooki’s administrators: organization and board details, when needed to run, support or protect the service. They look at the pictures on a board only when someone reports it or the law requires it, and every look is recorded (see When WallZooki steps in).
  • The companies that help us run WallZooki (listed below), only to do that work for us.
  • Authorities, when the law requires it: if we receive a valid legal request, or to protect people from harm.

Companies that help us run WallZooki

  • Amazon Web Services: hosts the website, the boards and everything stored for them, handles sign-in, and sends our emails. Your information is stored in the United States.
  • Stripe: takes card payments for boards, once charging is switched on. Stripe receives your organization’s notification email address with each payment.

When WallZooki steps in

Each board is run by its organizer: they approve or reject everything guests send. WallZooki does not watch boards. We step in only in these cases:

  • Pausing a board. We may pause a live board, for example after a report, for a payment problem, or to protect people from harm. While it is paused, its big screen and guest page say the board is taking a break and no new pictures can be sent. Nothing is deleted. The organizer is always told why, on their dashboard and by email, and we switch the board back on when the problem is solved.
  • Looking at a board’s pictures. We look at the pictures on a board only when someone reports it or the law requires it. Every look is recorded: who looked, when and why. The organizer is emailed each time.
  • Stopping a board. If we must, we take a board down for good, as if its organizer had stopped it. Its pictures are then kept in a backup for 30 days, as described below.

Anyone can report a board with the Report this board link on its guest page. A report goes to WallZooki, not to the organizer. We keep what was reported, and the reporter’s email address if they give one, only to look into it and to answer them.

How long we keep it

  • A rejected picture is deleted right away.
  • A picture nobody reviews is deleted after 7 days.
  • When a board ends (its end time comes, or the organizer stops it), its pages go offline and its pictures are kept in a backup for 30 days, then deleted. An organizer who deletes a board can choose to erase the backup straight away instead.
  • A board’s sidebar picture is deleted when the board ends for good.
  • Payment names and codes are deleted along with the board.
  • Your account and organization details are kept until you delete your account (or ask us to).
  • Payment records are kept for our accounts.
  • Technical logs (such as error reports from our servers) are deleted after 90 days.
  • Basic numbers about past boards (such as how long a board was live) are kept for our records.
  • Reports about boards, and our record of each time we looked at a board’s pictures, are kept for our records.
  • Launch waitlist addresses are deleted after we email everyone on it that WallZooki is open, or sooner if you ask.

Cookies and what is stored in your browser

WallZooki does not use advertising or tracking cookies. Your browser stores only what the site needs:

  • your sign-in, until you close the browser tab or sign out;
  • the language you picked;
  • if you install WallZooki as an app, a copy of the page shown when you are offline.

Children

WallZooki accounts are for adults who organize events. Guests do not create accounts. Many boards are run by schools and youth groups: the organizer is responsible for making sure they have permission, for example from parents or guardians, before pictures of children are shown. If you believe a picture or information about a child was shared without permission, contact the board’s organizer or email us at privacy@wallzooki.com, and we will remove it.

Your choices

  • Organizers can change their organization and board details, and delete boards, from the dashboard at any time.
  • To delete your account yourself, open your dashboard and, under Your account, choose Delete my account. Your organization, all your boards (live boards are taken down), everything guests added to them, their backups and the pictures you uploaded are erased within a few minutes, your sign-in stops working, and we email you a confirmation. Payment records are kept for our accounts.
  • To see or correct your information, or if you would rather we delete your account for you, email privacy@wallzooki.com from the email address you signed up with. We will answer within 30 days.
  • Guests who want a picture taken down can ask the board’s organizer, use Report this board on the board’s guest page, or email us with the board’s name and a description of the picture.

Security

Signing in, the dashboard and the board pages we give out (the big screen, the guest page and the approval page) use encrypted connections (HTTPS). Passwords are handled by Amazon Web Services and never stored by WallZooki. Our administrators sign in with an extra code from an authenticator app. No system is perfectly secure, but we work to protect your information and fix problems quickly.

Changes to this policy

If we change how we handle information, we will update this page and the date at the top. If a change is important, we will also let organizers know by email.
